Statutory accuracy and deadline discipline are the backbone of this work — a missed filing or a wrongly drafted resolution has real, tangible consequences for clients — so we value meticulous, reliable secretarial support very highly indeed. You'll be trusted with sensitive statutory records and given the training and support to handle them properly, within a professional team that takes compliance seriously.

We need a Legal Secretary to support our company secretarial practice, preparing statutory documents, board resolutions, and maintaining client statutory records. The role suits a detail-oriented professional who takes genuine satisfaction in getting formal documents exactly right the first time. You'll work directly with our company secretaries and consultants, and gain deep, practical knowledge of Malaysian corporate secretarial procedures and the Companies Act as it applies day to day.

Key responsibilities

  • Prepare statutory documents, board resolutions, and accurate meeting minutes
  • Maintain client statutory registers and records fully up to date and compliant
  • Coordinate filing deadlines and electronic submissions with SSM
  • Support consultants with document formatting, proofing, and professional binding
  • Manage the flow of documents for client signature and proper execution
  • Keep confidential client files secure, indexed, and well-organised
  • Track annual return and compliance deadlines across the client portfolio

Requirements

Requirements

  • Diploma in Legal Studies, Company Secretarial practice, or a related field
  • At least 2 years of experience in a legal or company secretarial support role
  • Meticulous with document preparation, accuracy, and filing deadlines
  • Strong written English and confident proficiency in Microsoft Word
  • Discreet and trustworthy with sensitive corporate information
